5 Actions to Help New Experience Cloud Admins

Navigating this platform can spark ongoing questions and a desire to explore further. That’s why I’ve put together this handy guide, covering key actions to make your transition smoother and help you gain valuable insights. So, let’s dive in and embrace that continuous curiosity!

1. Investigate Your Security Model 

It is essential to understand your external security model so that you can prioritize data protection - and rightfully so, you are dealing with customer and partner data after all! This includes diving into Privacy settings, External Sharing Settings, and Site Sharing Settings. Understand how your company extends object access to customers across sites, uncover any gaps in the security framework, and ensure that security measures are effectively implemented and maintained.  

2. Explore Experience Builder

Exploring Experience Builder is the fastest way to get up to speed with your company’s Experience Cloud Site. If you have experience with configuring Lightning Pages, you’ll quickly adjust to using Experience Builder. The interface is similar in that it allows for page layout customization through the use of drag and drop components

3. Familiarize yourself with the External User Provisioning Process

The data model and user provisioning process for external users is slightly different than internal users. A contact record must exist first before being enabled as an external user. This establishes a link between your CRM data and the external user, which allows for more personalized content and ensures data security.

4. Understand License Types

At a high level, Experience Cloud licenses are divided into two main categories: Customer and Partner. The kind of license plays a key role in dictating object access. Customer Community licenses are geared towards Cases and Orders, whereas Partner Community licenses introduce access to Leads and Opportunities.  Each license type has additional options which allow you to pay per user or pay per log in, which you should evaluate based on your customer/partner needs. 

5. Define User Journeys

Assess how users navigate the site and identify areas to improve the overall experience. Does the current setup optimize user experience and accessibility? You may even consider identifying an external super user that can provide helpful feedback. The main goal is to identify pain points and adjust the site accordingly to create a user-centered journey and personalized design.
